CFMT Meeting Space Use Policies and Guidelines

We are thrilled to offer our meeting spaces free-of-charge, when available, to eligible organizations. Meeting spaces only include tables, chairs, and use of A/V equipment.

Eligible activities must further the requesting organization’s mission or support community connection and/or education. For example: staff trainings, convening community, board meetings. 

The space is not available for:

  • Events with activities or content related to 501(c)(4) organizations, direct or grassroots lobbying, political campaigns, or electoral or partisan themes;
  • Commercial events with profit-making activities;
  • Fundraising;
  • Non-charitable or private events, such as weddings, birthday parties, or fashion shows.

Hours and Fees

  • Meeting space is free for non-profit organizations during CFMT’s regular hours: Monday – Friday, 8:30am – 4:30pm. Please Note: Availability on Fridays between Memorial Day and Labor Day is limited to 8:30am-12:30pm.
  • Standard access to the space, including set-up and clean-up time, is Monday-Friday from 8:00am to 5:00pm.
  • Events after or extending past 5:00pm or at any time on weekends incur a $50/hour fee. 
  • All after-hours events must end by 9pm, including setup and cleanup.
  • Once your reservation has been confirmed, we do our best to keep your group in the assigned meeting space. On occasion, adjustments need to be made, but we will never move you to a room too small for your group.

Parking/Transportation

  • Parking is limited to 30-35 spaces during business hours. There are 80 total parking spaces onsite to accommodate CFMT staff and meeting guests on weekdays.
    • For events over (30) people during business hours, carpooling, public transportation or ridesharing is strongly recommended.
  • Parking is free and is first-come, first-served. 
  • The building is accessible via the #17 WeGo Public Transit bus.

Catering/Food Delivery/Alcohol

CFMT is not able to provide catering services, tablecloths, dishes, or glassware.

  • You are welcome to bring food, non-alcoholic beverages, and any cups or serving items you need.
  • If serving alcohol, a host liquor liability certificate naming The Community Foundation of Middle TN as an additional insured is required along with an ABC licensed server. 
  • No red wine, champagne, beer kegs, or self-service pours are allowed. 
  • If you choose to use a catering service, you must designate a contact from your organization for communication and to be onsite for food delivery. 
  • You may use a caterer or food delivery service of your choosing. Be sure to include food set-up and clean-up time in your reservation request.
  • Ensure your caterer provides the necessary plates, cups, cutlery, etc. for your event.
  • Boxed catering is preferred, but hot buffets are also allowed. 
  • A small kitchen is available near the meeting rooms, it includes a refrigerator (shared with CFMT staff), an ice machine, a bar sink and one microwave but no oven or freezer. 
  • Clean-up, including disposal of waste and recycling, is the responsibility of the organization. Recycling and trash dumpsters are located in the parking lot.
  • Caterers/vendors should be prepared to take any rental linens, dishes, etc. when the event concludes. We are not able to store items for pick up at a later date. 

Set-Up/Clean-Up/Equipment

  • You are responsible for arranging furniture in your desired set-up. 
  • Limited banquet tables are available.
  • Water dispensers/pitchers are available with advance notice, when available. Please supply your own cups.
  • Tables must be wiped down and all trash must be taken out before you leave. Wipes and garbage bags are provided. Recycling and trash dumpsters are located in the parking lot. 
  • We have very limited storage, please discuss storage needs with CFMT staff prior to having any materials or rentals delivered ahead of your event. 

A/V Technology systems in our space

  • Zoom is the only video conferencing platform supported by our equipment. 
  • The Frist. Foundation Boardroom, Francis Guess Building Bridges Community Room, and the Truist Conference rooms are equipped with a screen to display presentations or connect to a Zoom call.
  • We do not have a projector or large projection screen available, but you are welcome to bring your own.
  • An HDMI cord is provided to connect to the screen in your meeting room. If your presenter’s device does not have an HDMI port, please bring an adapter.
  • A handheld microphone is available in the The Frist Foundation Room only.  
  • CFMT staff will assist with AV setup but may not be able to provide ongoing tech support.

CFMT is a non-smoking campus, smoking is not allowed anywhere on the premises.

The CFMT building is ADA-compliant. We will assist with parking and other accommodations as needed.
